Cancellation Policy

This Cancellation Policy sets out how cancellations and changes to bookings with The Scenic Route are handled. It should be read together with our Terms & Conditions.

1. Scope

This policy applies to all tours and experiences booked directly with Vantage Victoria, unless a different policy is expressly stated at the time of booking.

2. Cancellations by you

All cancellations must be made in writing via email to [your email address].

Please note: all cancellation periods are calculated according to the time your written cancellation is received by Vantage Victoria in Melbourne, Australia (AEST/AEDT). If you are overseas, your local date or time of sending does not apply.

You are considered to have cancelled your booking on the date we receive your written notice.

Suggested structure (edit numbers if you like):

  • More than 14 days before the tour:
    – Full refund, minus any non-refundable transaction or booking fees (if applicable).

  • 7–14 days before the tour:
    – 50% of the tour price is refundable.
    – Alternatively, we may offer a one-time date change subject to availability.

  • 3–7 days before the tour:
    – 25% of the tour price is refundable.
    – A date change may be possible at our discretion and subject to availability.

  • Less than 72 hours before the tour or no-show:
    – No refund will be provided.

No-shows (failure to arrive at the agreed meeting point at the scheduled time) are treated as late cancellations and are non-refundable.

3. Changes to your booking

We will do our best to accommodate requests to change dates, times or tour options, but:

  • Changes are subject to availability; and

  • Changes requested close to the tour date may be treated as a cancellation and re-booking under the timeframes above.

4. Cancellations or changes by us

We aim to operate all tours as scheduled. However, we may need to cancel or amend a tour due to:

  • Severe or unsafe weather conditions

  • Road closures, emergencies or safety concerns

  • Guide illness or operational issues

  • Government restrictions or other events beyond our reasonable control (force majeure)

If we cancel a tour, you will be offered:

  1. A full refund of amounts paid; or

  2. A rescheduled date; or

  3. An alternative tour of equal value (where available and agreed).

This is your sole remedy for cancellations by us. We are not responsible for any additional costs you incur (e.g. accommodation, flights, other transport).

5. Late arrivals

Tours depart at the time stated in your confirmation. If you arrive late:

  • The tour may be shortened so that it finishes at the scheduled time; or

  • In some cases, the tour may need to depart without you to keep to timings and bookings.

No refunds or partial refunds are provided for late arrival or missed portions of a tour.

6. Weather

Tours may operate in a variety of weather conditions. Light rain or variable weather will not normally trigger cancellation.

If conditions are unsafe or would significantly affect the quality of the experience, we may alter the itinerary or postpone/cancel the tour in accordance with Section 4 above.

7. Refund method

Approved refunds will be processed:

  • Using the same payment method you used for the original booking, where possible; and

  • Within a reasonable timeframe (typically 5–10 business days, depending on your bank/payment provider).

Transaction fees charged by payment processors may be non-refundable.

8. Travel insurance

We strongly recommend that you have travel insurance that covers cancellation, delay, medical expenses and personal property, especially if you are travelling from interstate or overseas.
